Online events ​

An online event works like any other BagEvent event — tickets, registration form, payments, confirmations and broadcasts all behave the same. The difference is where people go: instead of a venue, attendees join through your meeting link (Zoom, Microsoft Teams, Google Meet or whatever you use).

BagEvent doesn't host the video itself. You run the meeting in your own tool; BagEvent handles registration and gets the link to the right people.

Set it up ​

  1. When you create the event, under Location type choose Online ("Virtual meeting link") instead of In-person.
  2. Public location note is optional and is shown on the public event page — for example "Online — Zoom". Don't paste the meeting link there. Left blank, the location reads "Online".
  3. After the event is created, open Basics. Under Date and location, enter the Private join link (it must start with https://) and, if you like, a Join note: a passcode, a dial-in number, when the room opens. Select Save changes.
  4. Set up tickets and the registration form as usual. See Tickets & inventory and Registration forms.

You can change the location type later under Basics.

Hybrid events and streams ​

An in-person event can have a join link too. Under Date and location, choose Add an online join link and fill in the same two fields. The venue stays on the public page; the link goes to ticket holders only.

The join link is never on the public event page. Only people holding a valid ticket see it:

A ticket that is still waiting for payment or approval, or has been refunded, doesn't show the link. So anything that controls registration controls access:

  • Paid tickets — only people who paid get the link.
  • Approval — with approvals, people see the link once you approve them.
  • Capacity — ticket quantities cap how many people register.

If you add or change the link on a published event, ticket holders are emailed the new one unless you untick Email ticket holders about this change when I save.

Keep the link to registrants

Don't paste the join link into the event description, the website builder or a public broadcast. Anything on the public page can be read and shared by anyone.

Before the event ​

  • The reminder is automatic. Ticket holders get one email in the day before the event starts, with the time and the join link. You don't need to send it yourself; a broadcast is for anything extra you want to say.
  • Check your confirmation email. If you customise the confirmation under Notification settings, put where the join link should appear (and for the note).
  • Test the link from an attendee's point of view: register with a test ticket and check the confirmation email and the e-ticket.
