Leads ​

A lead is a record that someone visited your stand. Your reps create one by scanning a visitor's badge. Leads also come from people entering one of your prize draws.

Every lead can carry a rating, tags, a note, and the answers to your own questions. What a lead shows about the person is decided by that person, not by you.

What you can see about a visitor ​

Attendees choose what exhibitors may see. There are three separate permissions:

If someone shared nothing, the lead still exists. It reads Not shared — visit recorded, identity withheld: you know a visit happened, not who it was.

The Shares column in the leads list says Everything, Name only, or Nothing.

What the attendee had agreed to at the moment of the scan is stored with the lead.

Attendees give this permission on the registration form, when the organizer includes the Share with exhibitors question. If your leads all read Nothing, ask the organizer whether the form asks it — see Exhibitors and booths.

Set your scan questions ​

Go to What you ask on the web. These are the questions a rep answers in the app straight after scanning a badge.

  1. Add the first question, then Add a question for more — up to five.
  2. For each question, choose Typed answer or Pick from a list (one option per line).
  3. Tick Must be answered if the rep may not save the lead without it.
  4. Save. The next person scanned is asked these.

Name, email, and company are never asked here — they come from the attendee, with their permission. The page shows roughly how many seconds your questions add to each scan; keep it short when the stand is busy.

In the app the questions are read-only, under Stand → What you ask at the scan. Change them on the web.

Scan badges in the app ​

  1. Switch the app to Exhibiting and pick your stand (see Getting started).
  2. Tap the scan icon at the top right of any stand screen.
  3. Point the camera at the visitor's badge or e-ticket QR code. You can also type the Ticket code.
  4. On the lead card:
    • How warm is this lead? — a star rating.
    • Tags (optional) — type a tag and press enter.
    • What you ask — your questions; required ones are marked *.
    • Note (optional) — What did they ask about?
  5. Save lead, then Next scan. Discard throws the scan away.

The visitor's name appears once you save, and only if they shared it.

Without a signal ​

Keep scanning when the hall WiFi drops. The app shows an Offline banner and keeps each scan on the phone, with the time it happened. Scans upload by themselves when the connection returns.

A scan that reaches BagEvent twice is stored once, and the lead keeps the original scan time.

Names only appear offline for people the phone already knows about; everyone else shows their name after the phone syncs.

Work your leads ​

On the web ​

Leads lists everyone collected, with columns Attendee, How, Rating, Tags, Shares, Time, and Notes. Filter with How they reached you — leads come from badge scans and from your prize draws.

Open a lead to edit:

  • How hot — five stars. Nothing means unrated, not cold.
  • Tags — comma separated.
  • Note — what was actually said.

Answered at the scan shows your questions' answers. Save when done.

The list shows the latest 100 leads.

In the app ​

Leads has a search (name or company) and filters: All, 4★ and up, Not rated. Open a lead and use Edit rating, tags and note.

If the organizer set a lead cap for your stand, scans of new visitors are refused once it is used up. The Leads page shows how much of it is left, so you see it coming.

Export leads ​

Export on the web downloads a CSV. An export needs all three:

  1. You are a stand manager.
  2. The organizer allowed exports for your stand.
  3. Each attendee consented to export.

Rows for attendees who did not consent are left out, so the file can hold fewer rows than the screen. The page tells you how many: N of M can't be exported — those attendees didn't allow it.

If the button is disabled, either the organizer has not switched exports on, or no attendee has agreed yet.

The CSV columns are: captured_at, name, company, job_title, email, phone, source, rating, tags, note, answers.

Export is on the web only, not in the app.

Book a meeting with a lead ​

From a lead on the web that shares at least basic details, use Book a meeting:

  • When — in your time zone.
  • How long — 5 to 240 minutes, 20 by default.
  • Where — for example Booth A12.
  • Say why — the reason for the meeting.

Then Ask for a meeting. The attendee is notified and can accept, decline, or suggest another time.

Meetings must be switched on by the organizer and open for the event. To request one, you must also be registered for the event as an attendee.

Meetings in the web workspace lists your stand's meetings: Waiting on them, Agreed, They said no, Cancelled, Happened. In the app, Stand → Meetings shows the same list, read-only.
