Waitlist
When a ticket sells out, a waitlist keeps the demand instead of turning it away. People leave their email; when a place frees up, BagEvent offers it to the next person in line and holds it for them while they register. Nobody is charged until they complete the order.
Open the event, then Tickets (under Setup) and the Waitlist tab. You need the Tickets permission.
Turn it on
The waitlist is one setting for the whole event:
- Switch Waitlist for sold-out tickets to On.
- Under Hold an offered place for, enter how many hours (1–168) an offered place is held, then Save. The default is 24 hours. If the person doesn't register in time, the place goes to the next person.
A ticket takes a waitlist when it is active, not hidden, and has a set quantity. A ticket with unlimited quantity never sells out, so it never shows the option. Add-ons don't have waitlists.
What attendees see
Once a ticket is sold out, attendees see Join the waitlist under it on the registration page (and in the ticket section of the event website). They enter their Email, optionally their name and, where a ticket allows more than one per order, how many places they want. Nothing is charged.
They get an email confirming they're on the waitlist. When a place is offered to them, they get a second email — "A place is held for you" — that says until when the place is held (in the event's time zone) and has a Complete registration button. The button takes them to the normal checkout with the place already reserved. See Buying a ticket.
The option is hidden once registration is closed or the event has ended.
How places are offered
Places free up when a cart expires, an unpaid order lapses, an order or ticket is cancelled or refunded, a registration is rejected in review, or you raise a ticket's quantity. BagEvent checks for freed places about once a minute and:
- offers them in the order people joined. If the next person asked for more places than are free, nobody behind them skips ahead;
- holds the offered places for the time you set, and emails the person;
- gives the place to the next person if the hold runs out.
Freed places go to the waitlist before the public. While people are waiting, those places stay sold out on the public page.
The waitlist table
The tab lists everyone who joined, with Person, Ticket, Places, Status, Joined and — while an offer is open — Held until.
| Status | Meaning |
|---|---|
| Waiting | In the queue. |
| Offered | Places are held for them and they've been emailed. |
| Registered | They completed the order. The row shows its order number. |
| Offer lapsed | The hold ran out, or the held order was cancelled. |
| Removed | You took them off the list. |
For a row that is still Waiting you can:
- Offer now — hold places for that person straight away and email them the link, ahead of their turn. This only works if enough places are free.
- Remove — take them off the waitlist.
An open offer can't be withdrawn; it ends when the person registers or the hold runs out.
Checkout reminder
The same tab has a separate Checkout reminder switch. When it's on, a buyer who typed their email and left before submitting gets one email when their cart expires, asking them to continue. It's never sent twice to the same address for the event, or to someone who has registered.
