Badges

A badge template decides what prints on an attendee's badge at check-in: their name, company, a QR code, your artwork. You can keep one design for everyone, or give speakers, sponsors, press and VIPs their own by binding templates to ticket types. Templates live under Badges in the event's menu.

Create a template

  1. Open the event and choose Badges.
  2. The first time, choose Create first badge. After that, use the + New tile under Saved badges. A new template starts at 80 × 125 mm.
  3. Give it a Name — for example Speaker or General admission — so it is easy to tell apart later.
  4. Pick a Size from the list at the top, or choose Custom and enter the width and height in millimetres (10–300 mm each).

Everything you change on the canvas is kept as a draft until you choose Save in the top bar; the status next to it says Unsaved changes until you do.

Add what prints

The left panel has three groups. Click an item to add it to the canvas, then drag it where it belongs.

  • Attendee fields — Full name, Company, Registration number, and any field from this event's registration form, such as job title. If the list is empty, add the fields to the registration form first.
  • Codes — Check-in QR (the attendee's check-in code, so a scan at a session door or collection point works from the badge), Attendee info QR (a contact card someone else can scan), Link QR and Custom content QR (a link or text you type in).
  • Static — Static text that prints the same on every badge, such as SPEAKER or the event's name.

Select an element to change its font size, weight, alignment and exact position in the right panel. Elements cannot be dragged off the edge of the badge, because a printer would crop anything that hangs over it.

Background in the right panel uploads an image to print behind everything else — your event artwork, or a coloured band for a category. Clear removes it.

Choose Preview to open a PDF of the badge exactly as it will print, then Save.

Give each ticket type its own badge

One template is the default — marked DEF on its tile. It prints for every ticket type that no other template is bound to.

To give a ticket type its own design:

  1. Select the template under Saved badges — for example Speaker.
  2. In the right panel, under Tickets, tick the ticket types it is for. The binding is saved as soon as you tick it.

At check-in, the desk prints the template bound to that person's ticket type, and everyone else gets the default. Nobody at the desk chooses a design.

To change which template is the default, open the ⋯ menu on its tile and choose Set default. The same menu has Copy (a quick way to make a variant, such as the speaker badge with a different colour band) and Delete. The default template cannot be bound to tickets, because it already covers all of them.

Printing

Badges print during check-in on event day:

  • The desktop check-in app prints each badge as the person is checked in, on any printer the computer can print to, at the exact millimetre positions set here. It also prints offline, because the templates and backgrounds are downloaded to the machine beforehand. It can print a whole group in one pass — how VIP badges get printed before the doors open.
  • The phone app can send a single badge to a printer on the same network. That suits a small room; for a queue, use the desktop app.

The BagEvent Onsite manual covers printer setup and running the desk on the day.
