Agenda & speakers
The agenda is your event's programme: sessions in rooms, grouped by tracks, with speakers attached. It feeds the Agenda section of your event website and each attendee's own schedule. Open the event, then Agenda under Content.
Working on the agenda needs the Agenda permission, plus Venues for rooms and Speaker Hub for tracks. The Guest & agenda editor role template covers Agenda and Venues but not Speaker Hub — tick Speaker Hub as well for someone who manages tracks, or start from the Event manager template, which includes all three. See Team members.
The page has four tabs: Schedule, Sessions, Tracks and Rooms. All times are in the event's time zone.
Rooms and tracks first
Rooms are the columns of the schedule. On the Rooms tab, enter a room name and optionally Seats, Floor, an address or directions, and a description, then Add room. Deleting a room doesn't delete its sessions; they become unassigned.
Tracks group sessions by theme and give them a colour on the schedule. On the Tracks tab, enter a name and pick a colour, then Add track. Tracks are shared with the Speaker Hub: a track can also accept proposals until a deadline, and have Chairs who review them. Deleting a track leaves its sessions and proposals in place, without a track.
Days
There's no separate list of days: the agenda's days are the days of your event. To add a day, change the event's dates under Basics.
Add a session
Choose + Add session (on the Schedule or Sessions tab) and fill in:
| Field | Notes |
|---|---|
| Title | Required. |
| Day, Start, End | A session can run into the next day, up to 24 hours. Set both times or neither. |
| Type | Presentation, Keynote, Panel, Breakout, Workshop, Break, Social or Custom. |
| Track | Optional. |
| Spans all rooms (break / lunch) | For breaks and plenaries; otherwise pick a Room. |
| Status | Draft, Confirmed (the default) or Cancelled. |
| Description | Optional. |
| Show on public agenda | Whether the session appears publicly — only Confirmed sessions do, whatever this says. |
| Speakers | Tick the event's speakers and give each a role: Speaker, Moderator or Panelist. |
| Attachments | After the first save: PDF, Word, PowerPoint or images, up to 10 MB each. |
Select Save. If the session clashes with another in the same room, with the same speaker, or in the same track, BagEvent shows This slot overlaps — Go back to change it, or Save anyway. Draft and cancelled sessions never count as clashes.
The schedule
The Schedule tab shows one day at a time, with rooms as columns. Drag a session to another room on the same day; dropping it on another session places it straight after that one, keeping its length. Sessions that span all rooms sit in a band across the top.
The Sessions tab lists every session with its time, room, type, track, speakers and status, and filters by Confirmed, Draft or Cancelled.
What attendees see
A session appears on the public agenda when it is Confirmed, Show on public agenda is on, and the event is published. To show the agenda on your event website, add the Agenda section in the website builder (see Event website); it can be laid out as a timeline, table, accordion or day tabs.
Registered attendees can star sessions to build My schedule on their event page and add it to their calendar. See Your event page & networking.
Speakers at this event
Open Speaker Hub (under Content) and the Speakers tab. These are the people you can put on sessions.
- Add speakers — add one person (Single add), or bring in a list (File import).
- + Add from library — link someone from your organization's speaker library, optionally with a different title for this event.
A speaker's profile has Name and Title / position (both required), an Avatar (shown on the public site; up to 5 MB), an Introduction, Company, Email, Mobile, and LinkedIn, X / Twitter and website links. Email and phone are never shown publicly.
Each card shows where the speaker comes from — Library or Event only. Hide takes a speaker off the public site without removing them. Unlink removes a library speaker from this event (they stay in the library); Delete removes an event-only speaker. Either way they're taken off this event's sessions.
Speakers you accept through a call for speakers are added here automatically, as Event only.
Import speakers from a file
In Add speakers → File import, choose Download Excel/CSV template, fill it in and drop the file (CSV, TSV or Excel; the first sheet is read). The columns are name, title, avatarUrl, bio, company, email and phone; a header row is required, and up to 1,000 speakers per file. Rows without a name are skipped. Tick Update existing by email to update speakers who are already there instead of rejecting them as duplicates.
Your speaker library
Speakers under Resources in the left navigation is your organization's library, for people who speak at more than one event. Add them there once, then link them to each event with + Add from library. Changes to a library profile apply to every event it's linked to.
On the website, the Speakers section lists the event's visible speakers, and each name opens a page with their profile and their sessions.
