Attendee networking
Networking lets attendees find the people worth meeting at your event: an opt-in directory, suggestions that say why someone is suggested, a card to swap details, and meeting requests with a time and a place.
It is off until you turn it on.
Turn networking on
Go to On-site → Engagement → Settings and tick Let attendees connect with each other. A Connect tab appears on attendees' ticket pages and in the app.
Three switches then decide which parts are available:
| Switch | What it enables |
|---|---|
| Cards and connections | Showing a card, scanning someone else's, and swapping details. |
| Meetings | Proposing and accepting a meeting slot. Turn it off if you have nowhere to hold meetings. |
| Directory and suggestions | Attendees can be browsed and suggested to each other. |
Who is listed
By default, nobody is listed until they choose to be. Each attendee is asked Let other attendees find you? and can change their answer at any time. Someone who stays hidden cannot browse other attendees either.
You can also ask at registration: add Attendee directory from Standard fields in the Registration form. Attendees who tick it are listed from the start, with their name, company, job title, and what they are here for — never their contact details.
Under Directory and suggestions there is one more switch, Everyone is findable unless they opt out.
WARNING
Leave Everyone is findable unless they opt out off unless you have told your attendees, before they arrive, that they will be listed. Switching it off later does not take back the listing people already had.
What other attendees see:
- In the directory and in suggestions: name, job title, company, headline, and photo — never email or phone.
- After a connection request is accepted: email and phone, unless that person chose not to share them.
Set up matching
Suggestions are built from a few questions attendees answer about themselves. Set those questions up under On-site → Exhibitors → Matching.
Start from a preset… fills in a starting list for Technology, Manufacturing, Healthcare, Finance, or Consumer & retail. Edit it from there.
| Block | What to set |
|---|---|
| Business tags | One list used for both I offer and I'm looking for. Switch Ask what they offer and Ask what they are looking for on or off. |
| Roles | Ask their role, the role names (for example Buyer, Supplier), and Pairs that should meet. |
| Topics | Ask their topics and the topic list. |
Any question can Let them add their own words alongside your list. Click Save when you are done.
How suggestions are ranked
Suggestions are ranked by fixed rules, not by AI. For each pair of attendees:
| Signal | Points |
|---|---|
| They offer what you are looking for | +3 |
| You offer what they are looking for | +3 |
| Your roles are a pair that should meet | +2 |
| Each shared topic | +1 |
| Same industry | +1 |
Colleagues from the same company are never suggested to each other, and neither is anyone the attendee has already asked, connected with, or declined. Every suggestion shows its reason, for example They offer Machine vision.
When matching opens
Under When matching opens, choose:
- As soon as networking is on,
- Some days before the event — 1 to 30 days, or
- At a set time.
Suggestions and meeting requests are available from that point.
Send a reminder sends one push notification on the day or a number of days before the event. The default text is {match_count} people worth meeting are coming. Take a look; you can edit it (up to 200 characters).
Check the pool before you open it
Who we can match on the Settings tab shows how many attendees have signed in, how many said what they offer or want, and how many are matchable. Most offered and Most wanted show the popular tags.
Supply and demand under Matching flags tags that are Short of people offering this or where Few are looking for this — a sign the list needs adjusting.
Meetings
With Meetings on, attendees can ask each other to meet:
- They pick a day, a start time, a length, a place, and an optional message.
- Times that clash with something either person already has are struck through, without saying what the clash is.
- The other person can accept, decline, or suggest another time. Either side can cancel.
- Accepting a meeting also connects the two people.
- Meetings that would overlap for someone are refused when accepted.
BagEvent does not assign tables or rooms. The place is whatever the two people agree, so tell attendees where meetings can happen.
Exhibitor staff who are registered for the event can also request meetings on behalf of their stand.
