Creating an event
Every event on BagEvent starts life as a draft and becomes visible to the public only when you publish it. This page walks through creating the draft, filling in the event basics, adding a cover image, and the requirements you have to meet before you can go live.
Before you start: you need an organizer (the host brand that owns the event, its members, and billing). If you were invited to an existing organizer, use it instead of creating a new one.
Create a draft
- From your events list, choose Create event.
- Pick the Organizer that owns the event. Members, billing, and shared libraries all belong to that organizer.
- Fill in the required basics (below) and choose your registration defaults.
- Select Create event.
Creating the event saves it as a draft and drops you into the event workspace. Nothing is public yet. To get you started, BagEvent seeds the draft with a free ticket and a registration form containing First name, Last name, and Email.
TIP
The create form has an AI quick-start. Paste a description, an old event page, or a poster and it proposes a title, dates, summary, and details for you to review. You can still edit everything before saving.
Event basics
Title, summary, category
| Field | Required | Notes |
|---|---|---|
| Event name | Yes | Up to 120 characters. This is what attendees see. |
| Summary | No | Up to 500 characters, shown on listing pages. |
| Category | Yes | Pick the closest match from the list. |
| Tags | No | Up to 6 keywords. Press Enter or comma to add each one. |
| Event details | Yes | Rich text shown on the public registration page — agenda, speakers, who should attend. |
The Event details field is required when you create the event. Use headings, lists, and links to describe the event properly, since this is the main body of your public page.
Date and time
Set a Start and an End. The end can never be before the start — BagEvent keeps the two in sync as you edit, and rejects a save where the end precedes the start.
Choose the Time zone the event runs in. All event times are stored and displayed in this zone, so an attendee in another country still sees the correct local start time for the venue.
Location
Pick a Location type:
- In-person — a physical venue or address. A venue/address is required.
- Online — a virtual meeting link. The location text is optional; leave it blank and BagEvent records the event as "Online."
- Custom — free-form location text for anything that doesn't fit the other two.
Event locale (language)
The Language setting is the locale your public event page and emails are shown in. The available locales are:
- English (US)
- Chinese (Simplified)
- Chinese (Traditional)
Choose the primary language your audience reads. You can add more language versions later so the same event has a page per language — see Multi-language events.
Currency
Set the Currency for the event. Every paid ticket uses this one currency; you can't mix currencies within an event. Some currencies are marked "offline only" — they can't be charged through Stripe, so they're only suitable for free events or payment collected offline.
WARNING
Currency locks as soon as the first ticket is sold or reserved. Choose it carefully up front. See Tickets & inventory.
Registration mode
Choose how attendees register:
- Ticket sales — attendees pick a ticket first. A free General Admission ticket is created for you by default.
- Registration form — attendees fill in the form first. The default fields are First name, Last name, and Email.
You can change the registration mode later under Registration → Rules, and both modes use tickets underneath. See Registration forms for the difference in how attendee data is collected.
Cover image and the public event page
Upload a Poster / logo for the event. This image is used on your public event page and on listings.
- Formats: JPEG, PNG, WebP, or GIF.
- Maximum size: 5 MB.
- Recommended dimensions: 1200×630, or a square logo.
The poster is optional — if you don't upload one, the public page falls back to a tidy header that shows the event title rather than a broken image. You can add or replace the poster at any time from the event's details page.
Editing after creation
Open the event's Event details page to change anything you set at creation. It has three tabs:
- Basics — title, summary, category, tags, date and time, time zone, location, poster, event details, language, and currency.
- Domain — claim a branded address such as
my-event.bagevent.io; see Event website. - Embeds — copy iframe or button snippets to embed registration on an external website.
Edits save when you select Save changes. A few fields become read-only once money is involved:
- Currency locks after the first sale. The page tells you when it's locked.
- On a language version (a translated URL of the event), dates, location, and currency are inherited from the main event and can't be changed there — you edit ticket names and form labels instead.
You can edit an event whether it's a draft or already published; changes to a published event go live when you save.
Publishing requirements
Publishing is a toggle in the event workspace (labelled Published). Before an event can go live, it has to be complete:
- At least one active ticket. A ticket that's paused (off sale) doesn't count. See Tickets & inventory.
- A registration form with at least one field, and that form must include the system fields First name, Last name, and Email. See Registration forms.
- If any active ticket is paid, the currency must be chargeable, your plan must allow collecting payment, and you need a connected payment account — Stripe today, with PayPal and PayNow coming soon. See Connecting a payment provider.
If any requirement is missing, BagEvent blocks the publish and tells you what's needed (for example, "Publish requires at least one active ticket"). Fix the gap and try again.
Once published, your event page is live at its public URL. Share the link or embed the ticket widget on your own site.
TIP
Need to preview before going live? Use the event workspace's preview — it opens the public site with a short-lived token so only you can see the unpublished page.
Unpublishing and deleting
- Unpublish returns a published event to draft, taking the public page offline. Registrations already taken are kept.
- Delete is only allowed for drafts. If the event was ever live, unpublish it first, then delete.
Registration open and close
Publishing makes the page live, but you control whether people can actually register:
- Close public registration — a toggle under Registration → Rules. It blocks the public Register / checkout button while keeping the page visible. You can still add attendees manually.
- Ticket sale period — each ticket sells until the event start time by default, or you can set a custom sale window per ticket. See Tickets & inventory.
Next steps
- Tickets & inventory — set up free and paid tickets, quantities, and stage pricing.
- Registration forms — decide what to collect from attendees.
- Connecting a payment provider — required for paid tickets.
- Multi-language events — add language versions of your page.
- Quick start — the ten-minute end-to-end walkthrough.
